IMCA sends several reminders to designees in the months and weeks before the certification expiration date. These reminders alert the designee to the possibility of certification expiration. Designees are encouraged to review their CE status online on a regular basis, or designees can contact IMCA directly if they need instructions or information about renewing their certification.

Eighteen months into each renewal cycle, IMCA will e-mail each CIMA licensee a license renewal status report. Each licensee is responsible for reporting and tracking the required CE hours during the two-year renewal period. CE information is available through IMCA’s Web site under My IMCA.

Forty-five (45) days before the renewal period expires, IMCA will mail a reminder notice to the address of record of any licensee who has not yet met the renewal requirements. The mailing will include a printout of CE hours to date, a nonmember fee reminder if applicable and an extension application stipulating a due date. Each licensee is responsible for reporting his/her CE to IMCA and assuring that it has been posted. Keep a record of what is sent to IMCA in case any discrepancy occurs.

Approximately two weeks or less after the CIMA license expires, IMCA will issue a final notice (via certified mail to the address of record) to those who have not met the renewal requirements, placing the license in an “unresolved” status for a specific time (a period of approximately 30 days from the expiration date). Failure to resolve the deficiency (fees and/or CE reporting) within 45 days from the expiration date will result in notification to cease use of the CIMA marks. A licensee who receives a notice to cease use of the marks cannot appeal IMCA’s decision to send this notice. Continued use of the marks after receipt of the notice is viewed by IMCA as unauthorized use. IMCA considers unauthorized use an extremely serious matter and is prepared to take necessary legal steps to protect its certification marks. Licensees may apply for reinstatement of their right to use the CIMA marks under IMCA’s reinstatement policy.
